Conference Coordinator (Bethesda Office)

The Conference Coordinator will provide conference support for logistics contracts that reside within the ESI Health Group. Active contracts are currently under various agencies within the US Department of Health and Human Services. The Conference Coordinator is responsible for the coordination of all aspects of meeting product for events that range in size from 10 to 500 attendees. Duties for this position include but are not limited to:

 

Primary Responsibilities

• Develop conference materials, including but not limited to: registration brochures, conference notebooks, specialty publications, videos, and others ensuring that materials are completed on time and error free

• Conduct site surveys, coordinate procurement of hotel contracts, serve as hotel liaison and manage all aspects of hotel arrangements, including rooming lists, meeting room setup, food and beverage arrangements, audio-visual equipment and post-conference billing

• Manage the conference registration process-often for more than meeting simultaneously

• Coordinate participant and/or staff travel, including air/hotel arrangements and post-conference travel expense reimbursement, ensuring compliance with all applicable regulations and contract requirements

• Arrange conference calls using internal & external telephone systems; Respond to conference inquiries by phone, email and/or fax

 

Qualifications

• Bachelor’s degree in business, communications, or a related field required

• Minimum of 3 years experience in meeting planning and implementation

• Availability for up to 15% time business related travel

• Demonstrated advanced skills in Microsoft Office 2000 & proficiency in Corel WordPerfect

• Excellent oral and written communication, organizational, and problem-solving skills

• Knowledge of Peopleware Pro or other conference databases highly desired
