Our Chantilly, VA team is seeking a Project Assistant to support the Northeast Water Business Group. The primary area of responsibility will be to provide advanced administrative and support to a large group of professional staff and/or senior management. Work is frequently proprietary, and complex.


At least 5 years of experience as an administrative or project assistant is required, along with moderate to advanced personal computer and software skills. Advanced knowledge and expertise with Word, Excel, and, Powerpoint is required, and familiarity with Access and Visio is a plus. In-depth knowledge of consulting engineering company procedures, practices, and techniques preferred. Familiarity/knowledge of internet/intranet. You would be expected to utilize independent judgment and initiative to adapt practices, procedures and techniques as required to accomplish duties and responsibilities of the job. Duties and tasks are seldom routine in nature.


Additional Duties and Responsibilities may include:


- Assists management with various business budgeting and tracking activities, and may occasionally provide similar services on individual projects.

- May set-up and maintain financial and procurement databases and tracking systems.

- May draft project invoices; may track project and subcontractor invoices.

- Coordinates and tracks project submittals.

- May set up project filing system and maintain document controls for all incoming and outgoing documents, including correspondence, drawings, specifications, submittals, meeting minutes, reports, and contract documents.

- Independently prepares reports, presentations and correspondence of a nonstandard nature; may schedule graphics, editing and reproduction and coordinate production.

- May maintain departmental budgets or other records and processes such as purchasing.

- Collects compiles and analyzes data in response to special requests.

- May screen calls, arrange meetings, travel and may maintain the schedule for senior management or other personnel.

- May play coordination role for conferences, professional meetings and community or office events.

- Demonstrate initiative to actively seek out work assignments and improve administrative efficiencies in the office.

- Frequent internal and external contacts with all levels of employees and clients or other individuals.

- Assist with general office duties such as making coffee, refilling paper, and ordering supplies.

- Develops new or revised procedures or recommends improvements.

- Routinely solves problems and questions that normally arise to the course of the job.


Work hours are generally 8:00 am to 5:00 pm, but flexibility to work outside those hours and occasionally into the evening is preferred. Valid driver’s license required.

BASIC QUALIFICATIONS: The selected candidate will have at least 5 years of administrative or project assistance experience, that includes at least two years of experience in a professional office environment providing support to several staff members working on budgets, invoicing, reporting, data entry, preparing charts, schedules and other tasks. A high school or equivalent degree is required.


PREFERRED QUALIFICATIONS: Some college education preferred. Five or more years of experience in an administrative role providing support to several staff members working on invoicing, budgets, preparing reports, charts, data entry and other tasks. Five or more years of experience in an engineering consulting environment preparing project document and deliverables, coordinating production and delivery of project deliverables, drawings, specifications, etc. Experience in project status verification, procurement and procedural compliance are preferred.
